Describe what has changed
Reference the original scope item and explain the proposed replacement instruction. State the reason for the change and identify affected retained elements, access arrangements or later trades. Attach a marked photograph or drawing when words alone could point to more than one location.
Separate a request for advice from authorization to proceed. A contractor may need to assess the change or obtain information before it can be included. Do not treat a discussion on site as proof that everyone has accepted a revised scope.
Resolve the effects together
Ask which parts of the quotation, sequencing, debris arrangements or handoff condition would change. If the proposal affects approved plans, the municipal review question is separate from the commercial agreement and must be addressed through the appropriate process.
Ontario’s consumer guidance recommends documenting agreed changes to renovation contracts. Keep the original and revised documents together, with the person approving the change clearly identified. Obtain appropriate advice if the contractual effect is uncertain.
Give the team one current instruction
Circulate the accepted revision to the people who need it and mark older instructions as superseded. At the next review, confirm that the changed item was completed to the revised boundary. For a new YAK enquiry, identify changes already made to the plan so the current request is assessed.
