Before work starts

Choose who can give project instructions

A property can have several interested people but still need one reliable route for decisions. Identifying that route helps prevent conflicting instructions. The person available on site is not automatically the person authorized to change the work.

Separate the roles

Name the property owner or authorized representative, the everyday contact and the person who can approve scope changes. Record who may arrange access and who should be contacted about an unexpected finding. If different people hold these roles, explain the difference to the contractor.

For jointly owned or managed property, resolve authority between the relevant parties before commissioning work. Do not ask the demolition team to determine ownership rights or settle an internal disagreement. Obtain suitable advice when the authority to authorize removal is uncertain.

Define the communication path

Choose one main channel for project instructions and keep decisions in writing. A designer’s suggestion, a tenant’s preference and an owner’s approval should be identifiable as different things. Ask everyone to route changes through the agreed contact rather than giving separate directions to workers.

Set an alternative contact for periods when the primary decision-maker is unavailable. Explain which matters require a pause until approval is available. The contact plan should not encourage work to continue through unresolved safety, structural or material questions.

Review authority when the project changes

If management, ownership or the lead contractor changes, issue an updated contact list and confirm which instructions remain current. Send YAK the name and role of the person arranging the initial enquiry, while keeping sensitive authorization documents out of a general web form.
