Use a practical update format
Record the date, areas discussed, work reported complete and any question that needs an answer. Reference the current scope or drawing where possible. Identify whether an entry is an observation, a request for a decision or an approved instruction.
Include photographs only where they add context and can be taken safely. A wide view with a location label is often more useful than several close-ups. Avoid including occupants, private documents or access details in a general update.
Keep decisions separate from progress
An update that says a new condition was found is not an instruction to remove more material. Route scope decisions through the authorized person and record the resulting instruction in the change record. The update can then link to that decision.
Do not use a progress note as a substitute for a required professional report or authority confirmation. Record the status accurately: requested, received or still under review. This helps prevent a casual phrase from being repeated later as proof of approval.
Make the record manageable
Agree the communication method and appropriate update points with the project team. Consolidate repeated questions and close them when an answer is recorded. If you are enquiring with YAK as a remote owner or project manager, explain what information you need to coordinate your decisions.
Bring these details
